Let's be direct: TrialBell is not a business tool. It's a single-user iPhone app with no accounts, no seats and no sharing. If you're tracking software for a company, you need something else, and this page is about what.

Transparency: TrialBell is our own app, so weigh our placement accordingly. We name the apps that genuinely fit each case better than ours, and every competitor fact comes from that company's own listing or pricing page, checked 29 July 2026.

The short answer

You need multi-user access, owners per subscription and export — none of which a personal tracker has. TrackMySubs is built for it. If your stack is genuinely tiny and one person owns everything, a personal tracker can bridge the gap, but it won't scale past that.

What businesses need that individuals don't

  • More than one person can see it. If the list lives on one employee's phone, it leaves when they do.
  • An owner per subscription. Who requested it, who approves the renewal, which budget it comes from.
  • Seat counts. Per-seat software is where money quietly leaks — you pay for seats belonging to people who left months ago.
  • Renewal notice periods. Annual business contracts often require notice to cancel, so the deadline can be weeks before the renewal date.
  • Export and reporting, because this feeds bookkeeping and budgets rather than curiosity.
  • Offboarding. When someone leaves, their subscriptions need reassigning or cancelling — the single most common source of business SaaS waste.

The seat problem, specifically

Per-seat pricing means growth in cost is invisible: nobody approves a new subscription, they just add a user. Reviewing seat counts quarterly usually finds more money than reviewing which tools you subscribe to. Count licences against current headcount, per tool.

Notice periods change the deadline

Consumer subscriptions cancel up to the renewal date. Business contracts frequently don't — 30 or 60 days' notice is common, which means the real deadline is a month or two before the date in your calendar. Recording only the renewal date means finding out too late.

For every annual business contract, record two dates: the renewal, and the last day to give notice. The second one is the one that matters — a business version of the cancel-by date.

If you're a sole trader

TrialBell

Honest scope: one person, one phone, no sharing. If you're self-employed rather than running a team, that may be all you need — CSV export for the accountant, cancel-by dates for tool trials, $19.99 once. See the freelancer guide for that case.

Beyond a certain size

Dedicated SaaS management

Past roughly fifty tools, or once procurement and security reviews are involved, you're in the market for a SaaS management platform rather than a subscription tracker. Different category, different budget — we don't cover those, and we'd rather say so than pretend a tracker scales that far.

The pick for small businesses

TrackMySubs. It's the only tool we've written up that's actually built for this — folders, tags, payment types, CSV import and export, Zapier, and multiple users on the Enterprise tier at $30/month or $299.99/year. The free Starter plan covers 10 subscriptions, which is enough to find out whether it fits before paying.

TrialBell

Cancel-by dates computed for you, a lead reminder plus a time-sensitive final-day alert, and 42 built-in cancellation routes. No bank connection, no account. Free for 3 subscriptions; Pro is a one-time $19.99.

Frequently asked

Can TrialBell be used for business subscriptions?

Only for a sole trader. It's a single-user iPhone app with no accounts, no seats and no sharing, so a business list would live on one person's phone and leave with them. For anything involving a team you need multi-user access — TrackMySubs offers that on its Enterprise tier.

What's the biggest source of wasted business SaaS spend?

Unused seats. Per-seat pricing makes cost growth invisible because nobody approves a new subscription — they just add a user. Reviewing seat counts against current headcount quarterly usually finds more money than reviewing which tools you subscribe to.

Why do business subscriptions need two dates?

Because annual business contracts often require notice — commonly 30 or 60 days — so the last day to cancel can be a month or two before the renewal date. Recording only the renewal means discovering the deadline after it has passed.
